We are seeking an efficient, forward-thinking, resourceful and proactive Office Manager / Executive Assistant to ensure the smooth running of company operations. The role requires the ability to simultaneously manage and prioritize multiple tasks and assignments of varying complexity while ensuring that the efficiency and productivity of all our staff is maximized through effective communication, scheduling and process management.

Key responsibilities:

  • Administrative support for expanding 10+ person team of Cairn executives & technical staff based in San Francisco and Paris, France: meeting and travel scheduling, calendar management, general office management and facilities administration. Support outsourced accounting and finance functions e.g. address queries regarding expenses, vendors, purchases etc. 
  • Interface with outsourced HR functions to support recruiting, on/offboarding, benefits review and HR compliance
  • Support technical team with lab supply ordering, inventory organization and safety compliance administration.
  • Management and organization of physical and electronic files. Tracking and organizing of legal documents (contracts, employment agreements, intellectual property).
  • Support and coordination of internal initiatives e.g. grant submission, preparation of board meetings and materials, budget planning, event planning.
  • Email, phone and in-person communication with internal and external stakeholders including employees, board members, investors, strategic partners, prospective new hires, vendors and service providers.



  • Bachelor’s degree or equivalent professional work experience.

  • Highly computer literate, skilled in Microsoft One Drive Office 365 (Word, Excel, Powerpoint) and Adobe Acrobat.

  • Strong competency working with Google Suite Apps: Gmail, Docs, Sheets, Drive and Calendar.  Online calendar scheduling experience required and familiarity with conferencing tools is a plus (Zoom, Google hangouts).

  • Fluency using and, preferably administering, cloud-based file storage systems and related tools. Hands-on familiarity with tools such as DropBox, Box, Docusign,, Dashlane, Asana, Slack, Harvest, Gusto, Carta, Adobe Creative Cloud,

    Mendeley / scientific literature management tools a strong plus.  

  • Excellent written and oral communication, interpersonal, organizational, and time-management skills.

  • Resourceful, problem-solver, self-motivated and detail oriented.

  • Structured work ethic and able to learn new skills quickly.

  • Works independently and prioritizes effectively with minimum supervision.

  • Exercises good judgment and common sense and takes initiative accordingly.

  • Current US work authorization.

Highly desirable:

  • 1-2+ years of relevant administrative or corporate support experience.

  • Basic book-keeping/accounting experience and/or familiarity with QuickBooks and financial management systems.

  • Basic knowledge of life science research technologies and/or familiarity with therapeutics discovery.  

  • Website maintenance and support; basic IT infrastructure management skills (drives, user entitlements, backups etc.).

  • Experience administering federal grants; project management experience and/or training

  • Experience managing communications with advisors, board members and investors and supporting board meeting preparations.
